The following instructions and templates are provided to assist coordinators of the Military history Wikiproject to administer the project's article writing contest.

Steps to be followed edit

These steps should be followed when closing the monthly contest:

  1. At the end of the month, the contest should be closed. This should ideally be done in the first few days of the new month. To do this, firstly, the entries subpage should be reset. This is done by moving the current entries down to the log, and then the previous months' entries from the log to the archive log (the current archive can be found here).
  2. Each contributors' entries should then be verified. This can be done by one or more coordinators. Involved coordinators should not verify their own entries, but can verify other contestants' entries. Verification entails checking that the article has been re-assessed within the scoring period, that the points claimed are correct based on the points table and that editor claiming the points is entitled to do so (based on the instructions for contestants). Where an article has not been re-assessed in the scoring period, it should simply be moved to the next month's subpage with an appropriate edit summary. Once an entry has been verified, the verifying coordinator should sign the "checked" column with the four tildes.
  3. Once all entries have been verified, the points for each contestant can be tallied. This can be done in a number of ways, depending on the closing coordinator's preference. One suggested method is to copy the table of entries into an Excel spreadsheet. This allows a simple sort to be used to group each contestants' entries, which can then be used to automatically add up the number of entries and points per contestant. These figures will then be used to determine first and second place, to update the annual scoreboard and summarise the results for the month.
  4. To award consistent performance, the results of each monthly contest are cumulatively tallied on the scoreboard over the course of the year (January to December), and the editor with the highest number of points overall at the end of the December contest will receive the Military History Writers' Contest Cup.
  5. The closing coordinator should then hand out the awards based on the following schedule: the first place-getter will receive the WikiChevrons, while the second place-getter will be awarded the Writer's Barnstar.
  6. Once the awards have been handed out, and the scoreboard updated, the closing coordinator should summarise the results in corresponding edition of The Bugle. (For example, for a contest that ends in February, the results should be published in the March edition). The following should be mentioned: the total number of contestants involved, the number of articles entered, and those that took part. The place-getters should be linked, and all contestants mentioned by name.
  7. At the end of each year, the annual contest scoreboard should be archived here. The scoreboard should then be initialized for the following year and the tally will start over again.

Suggested wording for the various posts to be made are given below. These can be personalised if desired. The suggested messages have fields in bold text that need to be added. Please preview before posting. The suggested text should be updated annually to reflect the current year.
