Hints on how cultural institutions can give their contribute to Wikipedia.

These examples of clauses for free license contents release have been written down within the pilot project Share Your Knowledge and can be used by institutions to update their agreement texts.

Please note these samples were originally developed for Italian institutions, so you may need to adapt them to your local law.

How to give Wikipedia the authorization to use already published material edit

In order to give Wikipedia the authorization to use already published texts and/or images (on websites, magazines, books and other communication means), send an e-mail to permissions wikimedia.org filling in the forms with the required data:

The undersigned [full data] declares to be the author and/or to own the artwork copyright [description, text title or images list] published in [website full address, or paper artwork title and page, or reference to the attached text]. I give my authorization to publish the content on Wikipedia under endless and free Creative Commons Attribution-ShareAlike (CC BY-SA 3.0 Unported), license, of which I have read the legal text and accept the conditions (in particular the artwork paternity acknowledgement and the chance for everyone to freely edit and spread it also for commercial purposes).

Sample for acquittance edit

You can use it to release artworks (texts, pictures, videos, graphic projects, websites).

To fully acquire the artwork copyright by the user

The undersigned [full data] through this private agreement, valid for any law effect and consequence, gives his/her authorization [institution name] to use [content description], including those regarding the use of the name, image, written and/or played word, music, releasing wide and irrevocable acquittance valid all over the world. The undersigned in particular gives [institution name] authorization for the reproduction on DVDs and CDs and in any other form or magnetic or paper support.
[Only for Italy:] The undersigned also declares not to be registered with SIAE and that the produced material is not under SIAE tutelage.

For the release of the artwork under CC BY-SA 3.0 license by the author

The undersigned [full data] declares to own the copyright of [content description] and accepts the artwork release under endless and free Creative Commons Attribution-ShareAlike (CC BY-SA 3.0 Unported), of which he/she has read the legal text.

Announcement of competition edit

To release the artwork under CC BY-SA license directly by the author

Taking part into the competition, the candidate accepts and acknowledges hereby that the given artwork is released under Creative Commons Attribution-ShareAlike (CC BY-SA 3.0 Unported) license at the time of the release and without any further communication.

Letter of appointment edit

To fully acquire the copyrights by the institution

The acceptance of the appointment states that all the copyrights on each artwork created within the project in Italy and in any other country are assigned to [institution name]. The rights included can be - without any limit - those of copy, distribution, representation, press or any other means distribution or seminaries, meeting, conferences and online availability spreading, for both commercial and non-commercial purposes.

When the artwork is released under CC BY-SA directly by the author

The acceptance of the appointment states that you accept and acknowledge hereby that each artwork created within the project will be released under Creative Commons Attribution-ShareAlike (CC BY-SA 3.0 Unported) license at the time of the release and without any further communication.

Partnerships edit

When the artwork is released under CC BY-SA license

The parts mutually acknowledge and accept the fact that hereby each artwork created within the partnership project will be released under Creative Commons Attribution-ShareAlike (CC BY-SA 3.0 Unported) license at the time of the release and without any further communication.
